International Travel Process

Complete and Submit the S&T Travel Authorization Form

Whether you travel for research, conferences, or other academic endeavors, the S&T Travel Authorization app will streamline your request process.

Travelers should plan ahead to meet deadlines:

  • Comprehensively Sanctioned or Embargoed Countries: submit requests at least 6 months in advance, may require U.S. government authorization.
  • Foreign Countries of Concern: submit requests no less than 21 days prior to the departure date.
  • All other countries (for University Business only): submit requests no less than 21 days prior to the departure date.
  • Travelers MUST fill out their own individual travel authorization form (group forms are not allowed).

Register your travel

  • You must register, submit, and receive registration approval for your trip in the international travel registry platform.
  • Trip registration should be completed no later than 21 days prior to travel.
  • Consequences for failure to comply may include but are not limited to:
    • Denial of travel authorization or reimbursement;
    • Suspension of Access to University Property or University Resources or Systems during International Travel;
    • Disciplinary actions in accordance with applicable procedures up to and including termination of employment or expulsion from the university;
    • Revocation of access to University Systems and Resources;
    • Revocation of access to University Property; and
    • Referral to appropriate authorities in cases involving potential violations of U.S. export control or sanction laws, other laws or regulations, or sponsor requirements.

Registration Instructions

Register your travel with the U.S. Department of State

If you are a U.S. citizen, you should register your trip with the U.S. Department of State Traveler Enrollment Program. This travel registration makes it possible for you to be contacted in case of an emergency in the U.S. or in your host country.

S&T Study Abroad will register you automatically for the duration of your study abroad program. If you are unsure if you will be registered in STEP, please check with your program coordinator or department.

Additionally, if you will be traveling independently before, during or after your program, you should register that travel online. Through this free service, your family can pass an emergency message to you through the Office of Overseas Citizens Services by calling 888-407-4747 (from the U.S.) or +1 202-501-4444 (from abroad). In accordance with the Privacy Act, the Department of State cannot release your information without your express consent. Go to usembassy.gov to locate the nearest embassy or consulate.

The SITRAS committee will review all level 3-4 elevated risks for recommendations to be approved by the provost. You will be notified as soon as possible.

Documentation confirming completion of both steps must be attached to all expenses related to international travel.

After the completion of the travel authorization, travelers will receive an additional email containing a questionnaire related to research security. All questions must be answered and will be reviewed by Export Controls (S&T Research Compliance) before the travel registration can be approved.
